The hotel block is something that can be a little tricky but is important to get right. You want to make sure your guests are able to secure rooms at the best possible rate with the lowest risk to you. There are three main types of hotel blocks for weddings.
First is a discount code. This is a predetermined percentage discount provided for all guests of the wedding to book, based on availability. There is no risk for the bride and groom when using a discount code but there is a risk that the hotel can book up since there are no rooms guaranteed for your event.
Second is guaranteed room block with specific rooms allocated at predetermined prices. This option is preferred If you are limited in the number of rooms you can book at the hotel. This ensures the guests receive the room type they want. With a guarantee the bride and groom are usually responsible for the total number of nights contracted for. There is an additional risk for guaranteed room blocks because of this.
Third is discounted room block with Run of House category which means specific room types are not guaranteed but a number of rooms are put aside for your guests to book by a certain date. There are predetermined prices for each category based on overall availability. Depending on the hotel they may allocate some two bed rooms whereas other hotels do not specify. We recommend you request 50% split between king bed and two double/queen bed rooms. Run of House means the hotel chooses your room based on whatever rooms are available at check-in. If you want specific predetermined room types make sure you do not sign a contract for Run of House, sign a contract for the specific room types.
The contract with the hotel is important so feel free to reach out to a travel agent who has experience working with groups and hotel negotiations.
